Costs & changes
Change Events
Procore edits change events one record at a time. Change Events pulls all of them onto two sheets, one for the change events and one for their line items, so a month-end status sweep or a vendor correction across forty lines is a column fill and one sync.
Note
Turned on per company
This tool is off by default. If it isn't on your task pane home, email [email protected] and we'll enable it for your company.
What it does
- Pulls every change event on the project into the Change Event Update sheet, one row each
- Pulls every line item into the Change Event Line Item Update sheet, one row each
- Lets you edit eight header fields, including status, and the cost, revenue, vendor, and budget code on each line
- Lets you add new line items to existing change events
- Sends only the fields that changed, and checks Procore for changes made since your pull before you sync
To create new change events, use Change Event Import. Nothing here deletes a change event or a line item.
Prerequisites
- The Change Events module enabled for your company
- Standard or Admin on the project's Change Events tool
- A workbook bound to one project. The pull brings in every change event on that project. See Workbooks and projects
Pull the change events
- Open Change Events from the task pane home
- Click Pull from Procore
One pull writes both sheets. The task pane shows an Events and Lines toggle once the pull is done, and a status card with the pull time and a refresh button.
The Events sheet
Read-only context comes first: number, line item count, total latest cost and price, created and updated times. Then the editable fields:
| Field | Can be blank | Notes |
|---|---|---|
| Title | No | |
| Status | No | Dropdown of your company's configured statuses |
| Change Type, Change Reason | Yes | Dropdowns. Blank clears the value |
| Scope | No | in_scope, out_of_scope, or tbd |
| Description | Yes | |
| Source of Revenue ROM | Yes | automatic, latest_cost, manual, or no_revenue_expected |
| Prime Contract for Estimates | Yes | Dropdown |
| Custom fields | Per field | Editable ones get dropdowns where Procore has a list |
The Lines sheet
Each row starts with its change event's number, status, and title as read-only context. On a new row, Change Event Number is a dropdown so you can say which change event the line belongs to. The editable fields are Budget Code, Line Item Description, Vendor, Contract, Quantity, Unit of Measure, Unit Cost, Cost ROM, and the three revenue fields. Projects with Budget Changes also get a Budget ROM band.
- Vendor and Contract move together. A contract must belong to the vendor on the row. Change the vendor and the contract is cleared or must be re-picked
- Budget Code can't be removed from an existing line, only changed. Changing it can also move connected PCO or commitment lines if your project syncs budget codes
- Lines Procore has locked, because they're tied to a PCO, commitment, or budget change, show Locked and refuse edits
Edit in bulk
There is no filter or selection control. The sheet is an Excel table, so bulk editing is Excel: sort or filter the table, type the new value once, and fill it down. Paste a column from another sheet. Cells you change are highlighted, and the task pane lists each changed row under Review & sync with before and after values.
Tip
Month-end status sweep
On the Events sheet, filter the table to the status you're clearing, set the new status in the first row, and fill down. Clear the filter, then sync.
Review and sync
Rows with a problem sit under Needs attention with a one-click fix such as Restore or Clear value. Grouped repairs like Clear vendors and contracts or Copy cost to revenue fix a whole set at once. Clean rows sit under Ready to sync.
- On the Events tab click Sync 30 changes to Procore. Each change event is one request, so one rejection doesn't stop the rest
- On the Lines tab click Sync 40 line items (6 Change Events). Lines are sent one change event at a time, so a rejected line fails its change event's batch
Only the fields that differ from the pulled value are sent. Results are written back in place as Updated, Added, Unchanged, or Error.
When Procore changes underneath you
Sandspit checks Procore for change events edited since your pull. If it finds any, a banner says how many changed and offers Refresh and merge. That pulls Procore's current values into both sheets while keeping your unsynced edits. Where you and Procore changed the same field, the row shows Conflict with Keep Excel values and Use Procore values. A change event deleted in Procore while you have edits on it asks you to discard those edits first.
Limits
- No deletes of change events or line items
- Up to 200 line items per change event per sync, and up to 1,000 rows per run
- Vendor changes on a line don't flow to a linked commitment or PCO
- No inline vendor or budget code creation here. Use Refresh Picklists after adding them in Procore or through Change Event Import
Troubleshooting
- "Title cannot be blank" or "Scope must be in_scope, out_of_scope, or tbd": restore the pulled value with the fix button
- "X is not in the Status picklist": pick from the dropdown, or refresh Picklists if the status was added in Procore recently
- "Contract belongs to vendor X": set the vendor to match or clear the contract
- "Pull from Procore before syncing again. Some changes may already have synced": the last run stopped midway. Refresh, then review what's still pending
- The tool isn't on the home screen: it's off for your company. Email support
