Pull from Procore

Pull from Procore is the read-only reporting tool. Pick the Procore data you need, name a sheet for each, and pull. Each sheet is an Excel table you can refresh in place, so the formulas and pivots you build beside it keep working.

Pull from Procore runs in the Sandspit Excel add-in. If you haven't installed it yet, see Install the Excel Add-in.


What it does

Most reporting starts with an export from Procore that goes stale the moment it lands. Pull from Procore replaces the export. You choose the objects once, the settings are saved in the workbook, and every later pull rewrites the same tables with current data.

  • Pull up to eight Procore financial objects, each into its own named sheet
  • Choose which columns show on each sheet
  • Pull again to refresh. Columns you add to the right of a table survive the refresh
  • Nothing writes back to Procore. This tool only reads

Prerequisites

  • The Sandspit Excel add-in installed and signed in, with a project selected
  • Read Only or higher on the Procore tool for each object you pull. The task pane shows Needs Read Only on Budget (or Change Events, Direct Costs, and so on) next to anything you can't access
  • For budget objects, a budget view on the project

What you can pull

The task pane groups the objects into three sections.

Budget

  • Current Budget: the live rows for one budget view you choose. Columns match the view
  • Budget Snapshot: the rows from one named Procore snapshot of that view

Cost & Changes

  • Change Events: every change event on the project with its line items. Choose Combined sheet for one row per line item, or Split sheets for a summary sheet plus a line items sheet
  • Direct Costs: direct cost headers joined to their line items, including cost code, cost type, budget code, and amount

Contracts

  • Commitments: contract headers and totals
  • Prime Contracts: owner contract headers and totals
  • Bid Packages: identity, due dates, submission counts, and created dates
  • Commitment Change Orders: change order headers and totals

Note

Headers and totals only for contracts

Commitments, Prime Contracts, and Commitment Change Orders pull headers and totals. Schedule of values lines are not fetched per contract.


Pull data into sheets

  1. Open Pull from Procore from the task pane home
  2. Tick each object you want. Expand it to set options and the Sheet name. Names can be up to 31 characters
  3. For Current Budget, choose a Budget view. For Budget Snapshot, choose the view and then the Snapshot
  4. Check the footer count, for example 3 selected · 3 sheets, then click Pull 3 objects

Objects pull one at a time. If one fails, the others still complete and the task pane tells you which one had a problem. On success you see Pull complete with the number of sheets written.

Warning

Existing sheets are replaced

If a sheet with that name already exists, the task pane warns Pull will replace this sheet's contents. The managed table is rewritten. See Refresh for what survives.


Choose columns

Each object has a Columns button. Untick the columns you don't need and they are hidden on the sheet. Change Events has a long optional list, grouped into Change Events (CE) and Line Items (CELI). Column changes apply to a sheet you've already pulled without another request to Procore.


Refresh

There is no separate refresh button. Tick the objects and click Pull again. Sandspit clears the table's managed columns and writes current rows into the same table, so the table name and any structured references stay valid.

  • Kept: columns you added to the right of the table, including formulas. Your column choices and sheet names
  • Replaced: every value inside the managed columns
  • Cleared: any filter applied to the table. Excel can't resize a filtered table, so Sandspit clears it first

Build reporting on top

Because each sheet is a native table, build on it the way you'd build on any Excel table: pivot tables on another sheet, lookups against the table name, or extra columns beside it. The Current Budget table here is the right base for budget reporting. The Budget Review tool writes plain ranges that a refresh wipes, so keep analysis columns out of that one.


Troubleshooting

  • "This sheet is managed by another Sandspit tool": names like Budget, Snapshot, Change Event Import, and Picklists belong to other tools. Pick a different name
  • "Selected objects need unique sheet names": two ticked objects point at the same sheet
  • A padlock on an object: you don't have Read Only on that Procore tool for this project. Ask a Procore admin
  • "Procore is rate limiting requests": wait a minute and pull again
  • The pull is wider than last time and content sits beside the table: Sandspit won't overwrite your content. Move it to another sheet and pull again
