Workbooks and projects

Every Sandspit tool writes into sheets it manages and remembers which project they belong to. A few conventions apply across all of them.


One project per workbook

When you first use a tool, Sandspit stamps the selected company and project into the workbook. Opening that workbook later selects the project for you. Every sheet, dropdown, and sync in the workbook is scoped to it. To work on two projects, use two workbooks.


Switching projects

Choosing a different project in a bound workbook shows Switch project? with the warning that switching clears every tool sheet, because their data and dropdowns are tied to the current project. Copy any rows you need first, then click Switch project. Afterwards, set up and pull each tool again.

Switching is destructive

Unsynced edits on every tool sheet are lost. If a sync is running when the project changes, it stops with Sync stopped because the workbook moved to a different project.


Sheets the add-in owns

Each tool creates its own sheets, named exactly. Sandspit finds them by name, so renaming one is the same as deleting it. If a tool's sheet is missing, the task pane returns to Set up [tool].

Picklists holds every dropdown source and is shared by the tools. If it goes missing, the task pane shows Restoring dropdown lists and rebuilds it without touching your rows. Context sheets are protected key and value sheets, rebuilt on every pull, and are safe to reference in formulas but not to edit.


Hidden columns and sheets

Managed sheets carry hidden columns to the right, with names starting with an underscore, that hold Procore IDs and the values each row was pulled with. That is how Sandspit knows which record to update and what changed. Leave them alone. The workbook also has hidden sheets for the project binding. Don't unhide or delete those either.


Sync Status and Sync Message

Every editable tool sheet ends with these two columns, written by Sandspit:

  • Changed: the row differs from what was pulled and is waiting to sync
  • Error: validation blocked it, or Procore rejected it. The message says why
  • Synced: Procore accepted it
  • Submitted: the request was sent but the reply was lost. Pull again to find out what happened
  • Conflict or Locked: Procore changed the same field, or reports the record as not editable

Rules of thumb

  • Don't rename, delete, or reorder managed sheets or their columns
  • Filtering and sorting whole rows is fine. Sorting part of a row scrambles it
  • Build your own analysis on separate sheets. Pull from Procore keeps columns you add beside its tables. Budget Review does not
  • Dropdowns are pre-built for roughly the first thousand rows. Beyond that, validation still runs at review time
  • If a sync stops partway, refresh before syncing again. Some rows may already be in Procore
