Budget Review

Budget Review brings one Procore budget view into Excel, with a snapshot beside it if you want one. It also does two things in Procore: create snapshots, and add WBS lines that are missing from the budget at $0.

What it does

• Pull the current rows for one budget view into the Budget sheet. Columns match the view
• Pull one named Procore snapshot of that view into the Snapshot sheet
• Create an ad hoc or project status snapshot in Procore
• List WBS lines that aren't in the budget yet and add them at $0

Budget amounts are not written back. To import an original budget with amounts, see Budget Import.

Prerequisites

• The Sandspit Excel add-in installed and signed in, with a project selected
• Read Only or higher on the project's Budget tool to pull. Standard or Admin to create snapshots or add missing lines. Read-only users see a banner saying so
• A project with at least one budget view

Set up and pull

1. Open Budget Review from the task pane home
2. On first use, pick a Budget view and click Set up Budget Review. Setup creates the sheets and does the first pull
3. Afterwards, click Refresh rows to pull again, or Change budget view or snapshot to reconfigure

The configure screen has three settings. Budget view is required. Forecast start date is optional and recalculates monitored-resource forecast values from that date. Compare against is an optional snapshot. Click Pull budget.

The sheets

• Budget: the view's rows and columns, plus hidden Procore identifiers
• Snapshot: the selected snapshot's rows, or just headers when none is selected
• Budget Context: a protected key and value sheet with the view, pull time, snapshot name, forecast start date, and row counts. Useful for formulas. Don't edit it

Use the Cols button in the task pane to hide columns you don't need.

Compare against a snapshot

Snapshots are listed per budget view. Choose one under Compare against and pull. The Snapshot sheet fills beside the Budget sheet with the same shape, and the comparison is yours to build in Excel. Sandspit does not compute variance for you.

Create a snapshot in Procore

1. Click Create snapshot in Procore, from the configure screen or the menu next to Refresh rows
2. Edit the Snapshot name. It's prefilled with the date and time
3. Choose Ad Hoc or Project Status. Project Status is only available on Budget views, not Forecasting views
4. Click Create snapshot

Procore allows one snapshot per hour per project and budget view. A second attempt inside that window fails.

Add missing budget lines

After a pull, the Missing lines toggle shows WBS lines on the project that aren't part of the budget yet.

1. Switch to Missing lines
2. Tick the lines to add, or Select all
3. Click Add 12 budget lines at $0 and confirm

Each line is created in the Procore budget with an original budget amount of $0. Results show as Created, Already added, or Failed, and Sandspit re-pulls. To add lines with real amounts, use Budget Import.

Refresh

Refresh rows re-pulls the budget and the selected snapshot and rewrites both sheets. If Sandspit detects edits on either sheet, it asks first: Refreshing replaces the Budget and Snapshot rows in this workbook. Unsaved workbook edits may be discarded.

Troubleshooting

• "No Procore budget views were found for this project": the project has no budget view, or you can't see it. Check the Budget tool in Procore
• "Read-only access": you can pull but not create snapshots or add lines. Ask for Standard on Budget
• The snapshot list is empty after switching views: snapshots belong to a view. Pick the view first
• "Snapshot import is taking longer than expected": try again. If it repeats, reload the task pane
• "Budget Review changed after review. Refresh it before adding lines": the sheet changed while the missing-lines list was open. Refresh and reselect
