Advanced Filtering

Sandspit's advanced filtering lets you create precise views of your submittals. Combine multiple filters, save them for later, and share them with your team.


Filter Bar

The filter bar sits above the submittal grid and provides quick access to all filtering options. Click any filter dropdown to select values.

Key features of the filter bar:

  • Multi-select — Select multiple values for any filter
  • Active filter badges — See all active filters at a glance
  • Clear all — Reset all filters with one click
  • Filter count — See how many items match your filters

Available Filters

Filter your submittals by any of these criteria:

Filter Description Options
Project Filter by project All imported projects
Status Workflow status Draft, Open, Pending, Approved, Rejected, Closed
Type Submittal type Shop Drawing, Product Data, Sample, etc.
Ball in Court Responsible party Company names, "My Company"
Spec Section Specification section All spec sections in your projects
Company Responsible contractor All companies in your projects
Due Date Response due date Date range, Overdue, Due Soon
Private Visibility status Yes, No
Current Revision Revision flag Yes, No

Combining Filters

Filters work together using AND logic. When you apply multiple filters, only submittals matching ALL criteria are shown.

Example: If you select:

  • Status: Open
  • Ball in Court: Your Company
  • Due Date: Overdue

You'll see only submittals that are Open AND where your company is the ball-in-court AND are overdue.

OR Logic Within Filters

Within a single filter, multiple selections use OR logic. Selecting both "Open" and "Pending" status will show submittals with either status.


Use the search box to find submittals by text. Search looks across:

  • Submittal number
  • Title/name
  • Spec section
  • Description

Search works in combination with filters. Set your filters first, then use search to narrow down further.


Saved Filter Sets

Save your frequently used filter combinations for quick access. Filter sets are saved to your account and available across devices.

Creating a Filter Set

  1. Set up your desired filters
  2. Click Save Filter Set in the toolbar
  3. Give your filter set a descriptive name
  4. Click Save

Your filter set now appears in the filter set dropdown for quick access.

Managing Filter Sets

You can:

  • Apply — Select from the dropdown to apply instantly
  • Update — Modify filters and save over an existing set
  • Delete — Remove filter sets you no longer need
  • Rename — Change the name of a filter set

Default Filter Set

You can mark a filter set as default. This will be applied automatically when you open Sandspit.


Common Filter Patterns

Here are some useful filter combinations to get you started:

My Action Items

  • Ball in Court: Your Company
  • Status: Open, Pending

Shows submittals where your team needs to take action.

Overdue Items

  • Due Date: Overdue
  • Status: Open, Pending

Shows items past their due date that aren't closed.

Recently Approved

  • Status: Approved, Approved as Noted

Shows recently approved submittals for distribution.

Pending Reviews

  • Ball in Court: Architect
  • Status: Open

Shows items waiting for architect review.

Critical Items Due Soon

  • Due Date: Next 7 Days
  • Status: Open, Pending

Shows items that need attention this week.
