Submittals & RFIs
Sandspit provides a comprehensive view of all your construction Submittals and RFIs in a powerful, spreadsheet-style interface. This guide covers everything you need to know about managing both item types.
The Grid View
The grid view is the heart of Sandspit. It displays all your Submittals and RFIs from imported projects in a single, sortable, filterable view. You can switch between Submittals and RFIs using the view selector in the toolbar.
Default Columns
By default, the grid shows these columns:

| Name | The submittal title |
| Spec Section | The specification section (e.g., 03 30 00 - Cast-in-Place Concrete) |
| Type | Submittal type (Shop Drawing, Product Data, Sample, etc.) |
| Ball in Court | Who needs to take the next action |
| Status | Current workflow status |
Customizing Columns
You can add or remove columns using the column selector in the toolbar. Available additional columns include:
- Project name
- Responsible contractor
- Due date / Required on-site date
- Issue date / Submit by date
- Location
- Revision number
- Private/Public status
- Custom fields
- All workflow approvers
Column Preferences
Your column preferences are saved automatically and will persist across sessions.
Viewing Details
Click any Submittal or RFI row to open the detail panel. The detail view shows:
- General Information — Title, description, spec section, type
- Workflow Timeline — Visual representation of approval steps
- Attachments — All associated files and markups
- History — Complete revision and update history
- Custom Fields — All custom field values
From the detail view, you can respond to workflows, view attachments, and see the complete history of the item.
Tracking Status
Understanding status is key to managing your workflow effectively. Both Submittals and RFIs use similar status workflows.
Status Types
| Status | Meaning |
|---|---|
| Draft | Submittal is being prepared but hasn't been submitted |
| Open | Submittal is in the approval workflow |
| Pending | Awaiting response from one or more approvers |
| Approved | Submittal has been fully approved |
| Approved as Noted | Approved with comments or markups |
| Rejected | Submittal was rejected and requires revision |
| Closed | Submittal workflow is complete |
Ball-in-Court
The "Ball in Court" column shows who needs to take the next action on a Submittal or RFI. This is crucial for tracking workflow progress:
- Company name — The responsible party for the next step
- Multiple approvers — Shows all parties who need to respond
- Your items — Filter to see items where you're the ball-in-court
Filtering by Ball-in-Court
Use the quick filter to show only items where your company is the ball-in-court. This is a great way to focus on items that need your attention.
Due Dates
Sandspit tracks several important dates for each Submittal and RFI:
- Due Date — When the response is due
- Required on Site — When materials are needed at the job site (Submittals)
- Submit By — Deadline for initial submission
- Issue Date — When the item was issued
Items approaching their due date are highlighted in the grid. Overdue items show a visual indicator to help you prioritize.
Attachments
Submittals and RFIs often include various attachments:
- Primary attachments — Original submission files
- Workflow attachments — Files added by approvers (markups, revisions)
- General attachments — Supporting documentation
Click any attachment to view or download it. Files are served directly from Procore, ensuring you always have the latest version.
Opening in Procore
Every Submittal and RFI has a "View in Procore" link that takes you directly to the item in Procore's interface.
