- The manual way

Today, resources go in one line at a time.

Monitored Resources is one of Procore's Forecast to Complete methods. On a labor budget line, you add resources with a rate, dates, and utilization, and Procore draws the forecast down as the job runs. It is set one line at a time, with no bulk import and no single place to edit.

  • Resources go in one budget line at a time, with no bulk import.
  • Each labor line is opened individually to add or edit its resources.
  • A single project can carry 50+ labor cost codes, split across many sub-jobs.
  • Set at kickoff, then revisited every month as dates, rates, and staff change.

One flat grid

Every resource, every cost code, in one editable sheet.

Procore stays the system of record. Sandspit flattens its nested resource grid into a single Excel sheet, so updates are spreadsheet work: select a column, fill down, done. When you are finished, sync the changes back to Procore.

  • Pull Monitored Resources and budget rows into one flat grid, across all cost codes
  • Bulk-edit the resource, dates, unit cost, and utilization with fill-down
  • Create, update, and delete resources in one sync back to Procore
  • Row-level validation and per-row sync results, so you see exactly what posted

The same fields Procore tracks: budget code, unit of measure (Weeks or Months), unit cost, utilization. Forecast to Complete = unit cost × utilization × units remaining, drawn down over time.

Approved resources

Pre-approve the resources, then pick from a dropdown.

Build a reusable list of approved resources once, with their default unit type, rate, and utilization. In the resource sheet, every new row is chosen from that list instead of retyped, so the data is clean at the point of entry.

  • Pre-approve the employees, roles, and equipment your team reuses
  • They become dropdowns in the resource grid
  • Default unit type, rate, and utilization flow in when a row is added
  • Consistent names and rates across every cost code

Senior Project Manager Weeks $4,600 100%
Project Engineer Weeks $3,400 100%
Superintendent Weeks $4,200 100%
Field Engineer Weeks $2,900 80%
Office Trailer Rental Months $1,250 100%

Picked from a dropdown in the resource sheet, so names and rates stay consistent.

- Who it is for

For the people who keep the labor forecast current.

Monitored Resources runs in the Sandspit Excel add-in. It is for the teams that set up and maintain labor resources in Procore, at project kickoff and every month after.

Project managers

Stand up resources for a new job in waves as staff get confirmed, without opening each cost code one at a time.

Project accountants

Update rates, dates, and utilization across the whole project each month from a single grid instead of line by line.

Workforce planners

Keep the labor forecast that feeds downstream planning current, because the source data in Procore is finally easy to maintain.
