- The manual way

Today, the pay app is filled in one line at a time.

An owner invoice is a window onto the prime contract's schedule of values for one billing period. The rows are already there. The work is deciding one number per row, and the evidence for that number lives in four other Procore tools.

  • The lines are fixed. They are the prime contract’s schedule of values, and new ones only arrive through approved prime contract change orders.
  • Each line asks the same question: how much of this did we complete this period? The answer lives in the budget, direct costs, and commitment change orders.
  • Procore’s invoice form takes one line at a time. There is no fill-down, no formula, and no way to reference the cost data sitting in another tool.
  • It repeats every billing period, for every prime contract, for the life of the job.

Procore stays the system of record. Sandspit pulls one Draft owner invoice into Excel with every schedule of values line and markup line, so billing the period is spreadsheet work: a percent-complete column, a fill-down, a formula against cost-to-date. Pull the Current Budget, Direct Costs, and Commitment Change Orders onto their own sheets and the evidence is one lookup away.

  • Pick the Draft by invoice number and period end, click Pull into Excel
  • Edit the five fields Procore allows. Everything else is read-only and stays that way
  • Editability is per line: markup lines lock the materials columns, unit-based lines lock work completed
  • Cells you change turn yellow so the staged edits are visible on the sheet itself

Yellow columns are the five fields Procore lets you change on an owner invoice line. The rest come from the contract or are computed by Procore.

Sync back to Procore

One sync, checked against Procore first.

Each edit is staged against the value it started from. Sandspit will not overwrite a number someone changed in Procore while you were working in Excel, and it reads the invoice back when it is done so the totals on the sheet are Procore's totals.

  • Per-row results show exactly which lines posted and which need attention
  • Started the period in another Draft? Copy its values across on the same contract and billing period, without sending anything to Procore

    Preflight

    Every changed field is compared against what is in Procore right now. If anything moved since your pull, the whole run is refused and nothing is written.

  2. 2

    Update

    Changed lines are updated one at a time with live progress in the task pane. Large invoices show the request count before anything is sent.

  3. 3

    Readback

    A final read refreshes the computed totals so the sheet matches Procore, line for line.

What Procore decides, Sandspit respects.

Owner Invoices is in beta and turned on per company. It edits amounts on an existing Draft. It does not create invoices, add lines, or change status.

Draft invoices only

Sandspit edits a Draft that already exists in Procore. Submitting and approving stay in Procore.

Latest invoice per contract

Procore only accepts line updates on the most recent invoice for a prime contract. Older Drafts are hidden from the picker.

No new lines

Lines are the contract’s schedule of values. A missing line means its prime contract change order is not approved yet.

Up to 1,000 lines per run

Enough for the largest schedules of values, with the request count shown before a big sync starts.
