Add contingency funding lines to Procore change events
Have you ever typed a negative contingency line under every cost on a stack of change events, one change event at a time?
Select the cost lines in Excel, run Add funding lines, and every cost gets its funding row from contingency, ready to review and sync.
A quick action in Edit Change Events. Click the lightning button at the top of the pane and choose Add funding lines.
To fund Procore change event lines from contingency, open the Sandspit extension in Excel and use Edit Change Events. On the Change Event Line Items sheet, select the cost lines, open Quick actions, and choose Add funding lines. Sandspit adds a funding row under each cost with the negative Cost ROM as its Budget ROM. Review the rows and sync.
Pull the change events into Excel
Open the Sandspit extension in Excel, choose Edit Change Events, and click Pull from Procore. Switch the pane to Lines. The Change Event Line Items sheet has one row per line item, with Cost ROM and Budget ROM side by side.
Note: Budget ROM shows only on projects where your Procore permissions can read budget changes. Without it, Add funding lines asks you to refresh or check permissions.
Open Quick actions and choose Add funding lines
Click the lightning button at the top of the pane. Quick actions lists what you can run on the sheet. Choose Add funding lines.
Pick the funding budget code
Choose contingency, or any other code the funding comes from. The line item title fills in as Funding from and the code’s description. Change it to whatever your team writes, such as Funding from contingency.
Select the cost lines in Excel
Select the rows that need funding. The pane checks each one and shows how many funding lines it will add and the total new Budget ROM. Clear a checkbox to leave a line out.
Note: a line that already has funding on this code is flagged before you add anything. Lines with no positive Cost ROM, or with changes that are not synced yet, are listed as unavailable.
Add the rows to the sheet
Click Add rows to sheet. Each funding line is inserted under its cost line, on the same change event, with the funding code, your title, and the negative of the Cost ROM as its Budget ROM. Nothing is sent to Procore yet.
Note: adding rows clears Excel filters so the new rows are visible. Your previous filters are saved: reopen Add funding lines and choose Restore filters to put them back.
Review and sync
Back on the workbook, the new rows are listed as new line items. Check them, then click Sync. Each row goes Submitted, then Synced.
Why funding takes so long
Every cost on a change event needs a matching offset from contingency, so the budget nets out. In Procore that means a second line on each change event, with the amount retyped as a negative, one change event at a time.
What changes in Excel
- Select, don’t type. The funding rows are built from the cost lines you select.
- Checked first. Lines that already have funding are flagged before anything is added.
- Under each cost. Every funding row lands under its cost, ready to review and sync.
Frequently asked
What is a quick action?
A job you run from the lightning menu in a Sandspit pane, on the rows you select in Excel. Add funding lines is one of the quick actions in Edit Change Events.
How is the funding amount set?
Each funding line gets the negative of its source line’s Cost ROM as its Budget ROM, with Source of Budget ROM set to Enter Manually. A $8,940.00 cost gets a ($8,940.00) funding line on the contingency code.
What if a line is already funded?
The pane warns before anything is added: fully funded, partially funded, or funding that can’t be matched to one line. You can still add it, or clear its checkbox. The check reads the sheet, not Procore’s funded status, so pull first.
Can I see which lines are funded on the sheet?
Yes. Add funding status column adds a Funding check column for the chosen code. It shows Not funded, Fully funded, Partially funded, or Funding unclear on each cost line, and Funding row on the offsets.
How many lines can I fund at once?
Up to 200 funding lines per add. Select fewer rows if the pane says there are more than 200.
What permission do I need?
Standard or Admin on the project’s Change Events tool, plus permission to see budget changes so the Budget ROM columns load.
Procore Project Financials. Needs Standard or Admin on the Change Events tool, and a project that shows Budget ROM on change event lines.
Step-by-step mechanics, every column, and every error message are in the documentation.
