Add a line item to multiple Procore change events at once
Have you ever opened twelve change events, one at a time, to add the same funding line to each?
Paste the change event numbers under the table, fill one line down, and add it to every change event in one sync.
To add a line item to many Procore change events at once, open the Sandspit extension in Excel and use Edit Change Events. On the Change Event Line Items sheet, paste the change event numbers under the table, fill the budget code, description, and cost down, and sync. Every change event gets its new line.
Pull the change events into Excel
Open the Sandspit extension in Excel, choose Edit Change Events, and click Pull from Procore. Switch the pane to Lines. The Change Event Line Items sheet has one row per line item on every change event in the project.
Paste the change event numbers under the table
In the first empty row under the table, paste the Change Event Number of every change event that needs the line, one per row. Change Event Status and Change Event Title fill in from the Change Event Headers sheet, so you can check you have the right ones.
Note: until a new row has a budget code, the pane lists it under Needs attention with Budget Code is required on a new line item.
Fill the line down
On the first new row, pick the Budget Code from the dropdown and enter the Line Item Description and Cost ROM, or a vendor and contract if the line needs one. Select those cells and drag the fill handle down to the last new row.
Review the new lines
Each new row shows in the pane under Ready to sync with a New badge, the change event it belongs to, and the values it will create. A row with a problem stays under Needs attention with the fix written on it.
Sync
Click Sync 5 rows. Sandspit sends one request per change event, marks each row Submitted, then Synced, and confirms how many line items were synced across how many change events.
Note: the demo adds lines to Open and Pending change events. If yours are approved, try one on a sandbox project first, since Procore decides whether it accepts a new line there.
Why one line turns into an afternoon
A funding line from contingency, a week of supervision, or pricing that came in after the change event was logged. The line is the same each time, but Procore adds it one change event at a time, through the same three screens.
What changes in Excel
- One row per change event. Paste the numbers and the status and title fill in.
- Fill it down. The budget code, description, and cost go in once.
- Checked first. Missing codes are flagged on the row before anything is sent.
Frequently asked
How do I add a line item to multiple change events in Procore?
Pull the change events into Excel with Sandspit’s Edit Change Events, add one row per change event under the table on the Change Event Line Items sheet, fill the budget code, description, and cost down, and sync. Each change event gets its new line.
Can I add a contingency or funding line to every change event?
Yes. It is the same steps with the contingency budget code on each new row. Projects that can read Procore budget changes also show the Budget ROM columns, so a funding line can carry a budget amount instead of a cost.
What does a new line need before it can sync?
A Change Event Number, a Budget Code, and at least one of a description, a vendor, or a cost estimate. Anything missing is flagged on the row before you sync.
What about lines that show Locked?
Those are existing lines Procore reports as not editable, usually because they are linked to a PCO, commitment, or budget change. Adding a new row does not change them.
How many lines can I add at once?
Up to 200 lines per change event and 1,000 lines per sync. Sandspit sends one request per change event, not one per line.
What permission do I need?
Standard or Admin on the project’s Change Events tool.
Procore Project Financials. Needs Standard or Admin on the Change Events tool. Up to 200 lines per change event and 1,000 per sync.
Step-by-step mechanics, every column, and every error message are in the documentation.
