Bulk edit Procore change event custom fields from Excel

Have you ever typed the owner’s tracking number into forty change events, one at a time, from a second screen?

Fill an owner tracking number, or any custom field, on every change event at once. Look the values up from another system’s export, paste values, and sync.

Quick answer

To bulk edit a change event custom field in Procore, open the Sandspit extension in Excel and use Edit Change Events. Turn on the Custom fields switch so the field gets its own column, look each value up from the other system’s export in a helper column, paste values into the field, and sync. Every change event is updated in one pass.

01

Pull the change events and show the custom field

Open the Sandspit extension in Excel, choose Edit Change Events, and click Pull from Procore. Custom fields start hidden. In the pane, turn on the Custom fields switch and each one gets its own column on the Change Event Headers sheet, named after the field in Procore.

02

Bring in the other system’s export

Paste the export from the owner’s system, or your own log, onto a sheet of its own, for example Owner Log with the change event number in column A and the value you need in column B.

03

Look the values up in a helper column

In an empty column to the right of the table, look up each change event number, for example =XLOOKUP(A2,'Owner Log'!A:A,'Owner Log'!B:B,""), and fill it down. The empty text at the end keeps change events the export doesn’t have blank instead of showing an error.

Note: columns to the right of the table are kept when you pull again, so the helper column can stay for next month.

04

Paste values into the custom field

Copy the helper column and paste values into the custom field column. Each changed cell is highlighted, and the pane lists every change event with the value it had and the value it will get.

Note: paste values, not the formula. Text custom fields keep a typed formula as literal text, and a lookup that misses would sync as #N/A.

05

Review and sync

Check the Ready to sync list and click Sync. Each change event is updated in Procore, the pane marks it Updated, and the sheet shows Synced.

Why custom fields fall behind

Owner tracking numbers, funding references, and approval dates live in another system. Getting them onto change events means opening each one in Procore and typing the value in, so the field is usually blank on half the log.

What changes in Excel

  • The field is a column. Every change event on one sheet, ready to fill.
  • One lookup does the matching. By change event number, against the export.
  • Only values are sent. The lookup stays in its own column, and every change is listed before you sync.

Frequently asked

How do I bulk update a change event custom field in Procore?

Pull the change events into Excel with Edit Change Events, turn on the Custom fields switch, fill the field’s column, and sync. Every change event you edited is updated in one pass.

Why paste values instead of typing the formula into the field?

Sandspit syncs what is in the cell. A text custom field is formatted as text, so a formula typed into it stays as the formula text, and a lookup with no match would send #N/A. Keeping the lookup in a helper column and pasting values sends only the value.

Which custom field types can I edit?

Text, number, date, yes or no, dropdown, and vendor fields. A field Procore marks read only, or a dropdown whose options aren’t available, shows in the sheet but can’t be edited.

Can I zero out Non-Committed Cost the same way?

Yes, on the Change Event Line Items sheet. Switch the pane to Lines, set Non-Committed Cost to 0 on the lines you want, fill it down, and sync. Lines linked to a PCO, commitment, or budget change show as Locked and can’t be edited.

Will the helper column be overwritten when I pull again?

No. Columns to the right of the managed table are kept on the next pull. The custom field column itself is refreshed from Procore.

What permission do I need?

Standard or Admin on the project’s Change Events tool.

Applies to

Procore Project Financials. Needs Standard or Admin on the Change Events tool. Read-only custom fields and lines linked to a PCO, commitment, or budget change can’t be edited.

Step-by-step mechanics, every column, and every error message are in the documentation.
