Approval Workflows

Procore's submittal approval workflows define who needs to review each submittal and in what order. Sandspit makes it easy to track and respond to these workflows.


Understanding Workflows

A submittal workflow consists of a series of approval steps. Each step has:

  • Approver — The person or company responsible for this step
  • Status — Pending, Approved, Rejected, etc.
  • Due Date — When the response is expected
  • Response — The actual response once submitted
  • Attachments — Any files added as part of the response

Workflows can be sequential (one step at a time) or parallel (multiple approvers at the same time).


Workflow Timeline

When you open a submittal's detail view, you'll see a visual workflow timeline showing:

  • Completed steps — Shown with a green checkmark and response type
  • Current step — Highlighted as the active step
  • Future steps — Shown but not yet active

Click on any step to see details about the approver, their response, and any attachments they added.

Quick Status Check

The ball-in-court column in the grid shows who the workflow is currently waiting on, so you don't need to open each submittal to check.


Responding to Workflows

When it's your turn in a workflow, you can respond directly from Sandspit.

Single Response

To respond to a single submittal:

  1. Click the submittal row to open the detail view
  2. Scroll to the workflow section
  3. Click Respond on your active step
  4. Select your response type
  5. Add comments (optional)
  6. Attach files if needed
  7. Click Submit

Bulk Response

To respond to multiple submittals at once:

  1. Select the submittals you want to respond to
  2. Click Bulk Respond in the toolbar
  3. Choose your response type
  4. Add comments that will apply to all
  5. Attach files if needed
  6. Click Submit Responses

Same Response for All

Bulk response applies the same response type and comments to all selected items. If items need different responses, handle them individually.


Adding Attachments

When responding to a workflow, you can attach files such as:

  • Marked-up drawings
  • Comments documents
  • Revised specifications
  • Photos or screenshots

To add attachments:

  1. Click Add Attachment in the response form
  2. Select files from your computer
  3. Files are uploaded to Procore when you submit

Attachments added during workflow responses appear in the submittal's workflow attachments section, visible to all approvers.


Email Notifications

When you respond to a workflow through Sandspit, Procore handles all email notifications just as if you had responded directly in Procore:

  • Next approver — Notified that it's their turn
  • Submitter — Notified of your response
  • Distribution list — Anyone on the distribution list

Notification Settings

Email notification settings are controlled in Procore. Sandspit doesn't add or modify any notification behavior.
